Operations Team Assistant

Summary of Operations Assistant Duties

The administrative assistant will join the operation team, by providing indispensable administrative support to the operation team. The administrative assistant will help support the overall portfolio and bring complementary skills to strengthen the team as a whole.

Roles & Responsibilities

Travel/Events Management 

  • Manage and coordinate logistics for meetings, training, summits, and other events. 
  • Maintain team calendar of activities and events. 
  • Assist the administrative manager with coordinating activities including training, meetings, conferences, special events, etc. 
  • Prepare travel requests, expense reports, and reimbursement requests.

Information Management & Miscellaneous Internal Process

  • Assist in meetings by taking minutes/notes, disseminating minutes to participants, ensuring all material, equipment, and technical support for meetings, etc. as well as track and follow up on deliverables/action items from meetings.
  • Support Operations Team in developing agenda items, strategies, and discussion points for team meetings and other engagements.
  • Maintain updated contacts for the team, key contacts, collaborators, etc.  
  • Manage requests by phone/email/snail mail, respond to the requestor, and ensure that the request reaches the appropriate team members for handling.  
  • Manage ordering and tracking of equipment and supplies for the team.
  • Other duties as assigned.

  • Track record of success supporting multiple projects/events/activities.
  • High level of graphic design

Compensation
